Job Description:

As an Executive Assistant at Bureau Builders, you will provide high-level administrative support to the owner. You will handle a variety of administrative tasks, manage calendars, and coordinate meetings and events. You will also be responsible for maintaining confidential files, preparing reports and presentations, and handling correspondence.


Key Responsibilities:

  • Perform general administrative tasks, including managing phone calls, text messages, emails, and snail mail.
  • Coordinate and schedule meetings, appointments, and travel arrangements for team members.
  • Assist with document preparation, data entry, and filing to ensure efficient record-keeping.
  • Utilize Co-Construct software to streamline project management and communication processes.
  • Collaborate with team members to maintain a well-organized and productive office environment.

Qualifications:

  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in MS Office Suite and/or Google Suite software and other administrative software
  • Proficiency in using Co-Construct software is highly desirable.
  • Strong organizational and multitasking skills.
  • Excellent organizational and time management skills
  • Excellent written and verbal communication skills.
  • High level of integrity and honesty in all aspects of work.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Attention to detail and ability to handle multiple tasks efficiently
  • Problem-solving skills and proactive approach to challenges
  • Detail-oriented and self-motivated, with a positive attitude and a willingness to learn.
  • Prefer background in construction admin, including knowledge of processes and terminology.
  • Dependable and able to maintain confidentiality.
  • Commitment to a drug-free work environment.
